Executive Assistant

SALARY RANGE: $30,000 - $40,000
WORK HOURS: 9 am to 5:30 pm, Monday through Friday
WORK LOCATION: Main Office - 550 S. Arlington, Akron OH 44306

The Executive Assistant to the President/CEO of EANDC is responsible for working with the President/CEO and the Vice President of Operations & Administration to provide support which enhances the effectiveness and management capacity of these two executives. The preferred assistant will be capable of handling not only their time well but initiating the coordination of sensitive, confidential and discretionary tasks for the executives with personal integrity.

Coordinate executive communications, including taking calls, responding to emails and interfacing with clients
- Prepare internal and external corporate documents for team members and industry partners
- Enhance executive’s effectiveness by providing information management support; representing the executive to others
- Conserve executive’s time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications
- Produce information by transcribing, formatting, inputting, editing, retrieving, copying and transmitting text, data and graphics
Schedule meetings and appointments and manage travel itineraries
- Maintain executive’s appointment schedule by planning and scheduling meetings, conferences, teleconferences and travel.
- Welcome guests and customers by greeting them, in person or on the telephone; answering or directing inquiries
- Arrange events that take place inside and outside the work place, such as board meetings, lunches, dinners, and working with the fund raising team
- Ensure that office space and meeting rooms are organized, supplied with appropriate materials, and maintain a professional and clean appearance in advance of meetings
Maintain an organized filing system of paper and electronic documents
- Provide historical reference by developing and utilizing filing and retrieval systems; recording meeting discussions
- Secure information by completing data base backups
- Maintain office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies
- Maintain personnel information by employee
Develop and sustain a level of professionalism among staff and clientele
- Maintain customer confidence and protect operations by keeping information confidential
- Maintain professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies
- Ensure operation of equipment by completing preventive maintenance requirements; following manufacturer’s instructions; troubleshooting malfunctions; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques
- Contribute to team effort by accomplishing related results as needed
At EANDC we may require other duties that are not in the standard job description be performed as needed or requested by the President/CEO.

- Technical skills in the use of Microsoft platform systems and office equipment
- Basic bookkeeping and or accounting
- Organizational and problem solving abilities

- 4 years of professional experience in a support or technical assistance position (a 4-year degree may serve as a substitute for the required professional experience)
- Ability to read and prepare budget and finance documents
