Senior Administrative Assistant

The Senior Administrative Assistant is responsible for working with the Vice President of Residential Services and Director of Urban Planning to provide support which enhances the effectiveness and management capacity of these two executives.  The preferred assistant will be capable of handling not only their time well but initiating a series of administrative tasks including but not limited to the coordination of sensitive, confidential and discretionary tasks for the executives with personal integrity.

SALARY RANGE: $26,000 - $34,000
WORK HOURS: Monday - Friday, 8:00 am - 4:30 pm
REPORTING PARTY: Vice President of Residential Services
WORK LOCATION: Main Office (550 S Arlington St, Akron, OH 44306)

RESPONSIBILITIES

  • Coordinate executive communications, responding to emails and interfacing with clients

  • Schedule meetings and appointments and manage travel itineraries

  • Arrange events that take place inside and outside the work place, such as board committee meetings, program events, lunches, dinners, and working with the fund raising team

  • Maintain an organized filing system of paper and electronic documents

  • Develop and sustain a level of professionalism among staff and clientele

  • Assist Director of Urban Planning with front desk reception

REQUIRED Education and Experience

  • 4 years professional experience in a support or technical assistance position
    OR
    A 4 year degree may serve as a substitute for the required professional experience


Assistant Property Manager

The Assistant Property Manager reports to the Property Manager and is responsible for working with the Property Manager and residents to get the property management work completed at this site.

SALARY RANGE: $24,000 - $28,000
WORK HOURS: Monday - Friday, 8:00 am - 5:00 pm; 8:00 am - 6:00 pm one day per month
REPORTING PARTY: Property Manager (Canton office)
WORK LOCATION: Canton Office (1225 Gross Ave NE, Canton, OH 44705)

RESPONSIBILITIES

  • Prepare and edit correspondence, communications, presentations and other documents

  • Maintain customer confidence and protect operations by keeping information confidential

  • Prepare reports by collecting and analyzing information

  • Design and maintain databases, including back up processes

  • Maintain inventory of office supplies and operation of equipment

  • Arrange and coordinate application and re-certification appointments

  • Provide personal assistant services to the Property Manager

  • Manage photocopying, scanning and faxing activities

  • Ensure that all departmental deadlines are met

  • Prepare leases and perform data entry for move-in

  • Perform data entry for re-certifications

  • Maintain resident statements and accept payments

  • Post payments, late fees and maintenance charges

  • Open and close work orders

  • Prepare and submit payables to Akron office

  • Prepare bank statements and maintain records of deposits

  • Prepare and issue 3-day notices

  • Prepare files for submission to attorney for eviction

  • Prepare files for Property Manager prior to court eviction

  • Associates Degree or better preferred
